Choosing the Best Xerox Machine For Your Company

In today's digital world, a business simply cannot function without at least one copy machine and printer on hand. Important documents need to be recorded and kept for future reference. Memos and product reports need to be printed and distributed. A company's technological needs are endless. Thus, the question is not whether or not you need a Xerox machine but rather, which kind and how many is your office going to require?

How big is your company? A startup with three employees in a warehouse will have much different needs than a Fortune 500 multibillion dollar a year corporation with thousands of employees and multiple headquarters. Your startup can probably get away with a single Xerox machine and printer. Your large corporation will undoubtedly need multiples of each; along with a scanner, fax machine and other add-ons.

The first advisable step in this process would be to sit down with the financial decision makers in your company and hammer out a budget. This simple task will go a long way toward narrowing down the options. As a general rule of thumb big businesses will require more add-ons and therefore should budget accordingly, whereas small businesses can probably get away with a simple, run of the mill, cheap copier machine - and perhaps a printer. Companies printing less than 500 copies a month can easily get away with the lower cost models. Everyone else might want to splurge for the upgrade.

Multifunction copiers are those with the ability to print, fax, and scan. These are a perfect way to save space and efficiency within the company. However, if you already have all of these devices there is no real need to spend the cash for a multifunction Xerox machine for the office.

If you and your workers are all connected to the same network - and all work from this network - it makes the most sense to buy a network copier. These allow all employees to have access to the same copier.

Color copiers should be purchased for those companies needing to use their copier as a printer or with the need to use the machine for flyers and presentations; those with basic business document needs are less compelled to buy the fancy color copier machines - which can generally be about twenty to thirty percent more expensive than black and white copiers.

These guidelines should go a ways in helping you make your choice. Do your research and then stick to your final decision.
