When managing business from top to bottom you need many things, one of these is effective contract management. With this need comes another, you have to have a contract management plan. How do these work?
At the most basic level, your contract management plan will hold the crucial information regarding a contract and how it will be managed. Processes and systems will be established and ensure that both parties comply with the conditions and terms throughout the contract.
The idea for a contract management plan is to make sure that the contract manager: understand the contracts and the responsibilities of all involved while also establish an easy to use system that monitors all performances and identify where things can be improved.
You should never be in a position whereby you are questioning whether you need a plan for your contract management, of course you do. It's true that some contracts will need more managing than others but productivity is always there to be improved. Complex, technical or a large number of contracts should always be managed.
Knowing when to start to develop plans for your contract management is a frequent question. The truth is, it should be a living document. It should commence from the start of trading and be updated and reviewed throughout the life of your contracts.
Once procurement is being considered then you need to plan for who will manage the contract, how it will be monitored, what the risks are and what requirements you need from the other side. Following the finalisation of a contract you need to be sure that you know how to measure performance, any other confidentiality provisions that may be needed, milestones that could, should or will be reached, requirements of reports and potential issues in transition and implementation.
Before the contract management phase, a contract manager has to identify all of the clauses that are critical to the contract. This includes anything that may affect this contract management. During the course of the contract always be sure to update the plan.
When it comes to what to include in the plan, this can vary from contract to contract. The nature of the services or goods that are being purchased are key to this, and the majority of what you need will be found in the contract anyway meaning that the depth of contract often relates to the detail of planning.
Once you have done this there will be a contract manager to oversee it and a plan that makes contract management far easier.
