How to Address Business Envelopes

Now, as a business owner, what you print on your business envelope is important in presenting your company to potential clients or associates. In addressing your envelope, proper business etiquette must be followed properly. Always remember that business correspondence should be addressed formally and professionally not just to ensure prompt delivery, but to make a good impression as well.

One of the most important parts of business communication is addressing a business envelope properly. To give you some idea on how to address business envelopes, refer to the following tips below:

• First, you must have plain colored envelopes. When it comes to business communication or other official correspondence, such as with government agencies and fellow corporate entities, you should avoid using fancy envelopes. They are too informal. They also lack the appearance that conveys a certain level of professionalism. • Use black or blue ink as other colors are distracting and may suggest that the sender is lacking proper business decorum. It is better to print out the label than have it handwritten because printed labels are more pleasing to the eyes and can be read easily. Moreover, keep yourself from using fancy and complicated fonts that are hard to read. • Keep in mind that you should include the proper “attention to.” Indicate the name of the specific recipient. If you don’t know the exact name of the recipient, you may use the position title. For instance, you may write, “To the President,” if you are not sure about the full name of the president of the company that you wish to communicate with. • Write the complete address and make sure to avoid abbreviations. Remember, there are abbreviations that have thousand different meanings. So prevent delivery errors by writing the recipient’s full address. It would also be a good idea to check with your local mail carrier to confirm the existence of certain addresses in your mailing list. • Speaking of delivery errors, misspelled addresses are oftentimes the culprit of undelivered mails. See to it that you spelled out the address correctly before sending out the letter. Keep the address as centered as possible. You should also make sure that the people’s names are correct and accurate. Indicate the zip code in order to validate the mailing address for faster delivery. • It is very important to include return details because you’ll never know when something goes wrong during the mail’s delivery. With a return address, the mail can be easily sent back to you. • Write the return details clearly or you may choose to use a pre-printed label with your address on it. • Carefully consider your preferred address for the return details. This could be your office address, store address or your home address. Be specific. • The return details must be placed on the appropriate corner of the envelope. Seal the envelope tightly after all these steps are done.

If you want to get a response from your recipients, make sure that you are properly addressing your envelopes. Otherwise, your company’s investment in envelope printing will be all for naught.
