Planning a Conference in Your Town
So you are thinking planning a conference, product launch, AGM etc. Well there are certainly a lot of things to think about. This is certainly something you cannot "over plan" as if your meeting is going to go smoothly then you will want everything from the venue right down to the stationery to have been thought through. The venue is probably the most important thing to think about. Firstly the number of guests / delegates you will be having? How long will the event be? If the event is more than a day then will you want to offer overnight accommodation?
Then of course you need to think about the little touches. Name tags and perhaps a welcome pack. Maybe depending on the nature of the meeting you could also consider throwing in a goodie bag. Everyone loves free stuff.
The best thing to think about and also the best way to just about guarantee a good event is to think about what you would personally want to get out of a conference. Obviously it is ultimately business - but that does not stop it being able to be fun. Perhaps you can include a bit of team building. That can be a great way to break the ice and tear down some walls.
Location is also something to think about especially if you have people travelling from all over. There is little use in looking for Conference Venues in where you are if you are planning to hold your next AGM in another location!
So make a list, think about the key points of what you are planning, prepare everything well in advance. The last thing you want to be doing is running around like a chicken with it's head cut off for the days running uop to your event and again, although it is business, try to think of it as an adventure and try to have fun.
Finally, to me the number one thing you want to do is make your event memorable (for the right reasons of course). This can come down to the big extravaganza or just the little touches like a personalised item. Gifts are certainly good too and especially for product launches, giveaways such as calendars etc can give a year long reminder to a person about you and your products. It does not have to be wildly expensive, just make it thoughtful and also make it useful, so you, your company name or brand are brought to mind each time clients and delegates use the item or items you gave them.
