Timing the Save the Date, Invitations & Thank You Notes

Most people have heard that "timing," is everything. For the most part, this is true. Therefore, it is very important to plan your activities, events, and responses in a timely manner. Whether it is party invitations, notices, or thank you notes, timing the save the date for these items should take precedent over other events that are being planned.

It is important to establish your own priorities when sending and planning save the date, invitations and thank you notes. Giving your guests enough time to prepare for the event or party by sending the necessary items is of the upmost importance. Therefore, your invitations should be mailed at least two weeks in advance. This will give most of your guests plenty of time to prepare to be at your party or event. However, if the hostess knows or is aware of the fact that a particular guest works evenings and the party is planned for an evening, the hostess may want to verbally call this guest(prior to the announcements being mailed) and invite this guest personally on the phone(assuring her that an invitation will follow).

Timing the invitations for mailing is crucial. For instance, the invitations should not come too early (if this happens, many times guests forget about the planned event). On the other hand, the invitations should not come too late either. Therefore, the timing of the invitations and the save the date announcements should be well planned.

Thank you notes on the other hand should also be sent in a timely manner. Most often these notes should be sent within a week of the event. For the most part, the sooner the thank you notes are sent, the better. Everyone loves to receive a thank you note for giving a gift. This not only tells the gift recipient that the gift was appreciated; it also lets the person know that the gift was received. Writing thank you notes when reciving a gift and thanking guests for attending a party is always appropriate. More often than not, the person purchasing the gift will enjoy and appreciate receiving a thank you note, regardless of the timing.

Sending both save the date and invitations should be sent within two weeks before the event and send thank you notes within two weeks after the event. For this reason, most people feel that the two week window (whether giving or receiving) is the magical number. Unless performances are booked solidaly, many of the dates for events are subjected to change. Therefore, save the date, invitations and thank you cards should be sent on an individual basis within a reasonable timeframe.
